Tracking a Change Order in 2006! Last month we discussed the new look of QuickBooks 2006. This month we will highlight a fantastic new feature! In 2006 you now have the ability to track change orders on a proposal. This feature can be a life saver. Next month, we will highlight another new feature. Here's an actual scenario: A proposal was given to a client, then client decides they want tassel fringe on the lead edge of the drapery so the proposal was revised reflecting the increase costs. However, the client decides to wait and do the job in a couple of months. The client calls three months later and is ready to move forward with the job. However, the client locates only the original proposal that does not include the cost of the trim and, of course, your proposal in QuickBooks displays the revised proposal. If you have not documented the reason for the increased cost on the proposal you could be at a loss for words. Now QuickBooks has fixed that and quickly puts any question of doubt a client had to rest. How to Track a Change Order: QuickBooks will display a pop-up window asking if you would like to add a change order to your proposal. Click "Add" to track your changes. Open the proposal again and scroll to the bottom of the proposal and you will see the tracked changes. As you create an invoice the tracked change moves with the invoice. You can delete the tracked change at any time from either transaction by highlighting the section and pressing "CTRL Del". (Tip: if your client has not seen the proposal it is not necessary to track a change.) The below screen shot shows the pop-up screen that is displayed as you save the proposal.
