Are You Using Your Open Purchase Order List?

As I travel all over the country teaching QuickBooks seminars, I usually mention this powerful function and find hardly anyone knows about this well kept secret. It is my recommendation that, no matter how big or small, every business should use the Purchase Order feature. Every business owner must document items they have ordered, so why not document this in QuickBooks. Once you record items to be purchased in QuickBooks you can view all open Purchase Order through the Open Purchase Order List. After the bill arrives for an item, you can simply receive against the purchase order that has already been created and voila all the information from the purchase order transfers to the bill. How easy is that? You enter the information just ONE time.

QuickBooks offers two different preset reports; the first report, "Open Purchase Orders," will display all purchase orders issued including office supplies and other business items that are not related to a client. The second report, "Open Purchase Orders by Job," will display only purchase orders that have a job assigned to them. When you generate an "Open Purchase Order by Job" report you will notice a Source Name column. (see screenshot above) This column will group all vendors together according to each client. Say you ordered fabric, hardware and issued a purchase order to a workroom for Peggy Eatman. You would see multiple vendors listed on this report under her name. Once a bill arrives for an item and you receive against the purchase order the line item will disappear from this list.

To access these reports click Reports > Purchases > Open Purchase Orders > or select Open Purchase Orders by Job.

GREAT TIP: If you would like to access this report frequently, create an icon for it on your QuickBooks Desktop. Here's how: Generate the report, click View > click Add "Open Purchase Orders by Job" to icon bar. You're Done! Now anytime you want to access this report just click on the icon and your report instantly appears.
